Preferred Systems, Inc. (“Preferred Systems,” “PSI,” “we,” “us,” or “our”) respects your privacy. This policy explains what personal information we collect when you use our websites, portals, and services (the “Services”), why we collect it, how we use and share it, and the rights you have under U.S. state privacy laws.
By using the Services, you agree to the practices described here. If you don’t agree, please don’t use the Services.
1. Information we collect
Information you provide
We collect information you submit directly, including when you:
- Request a consultation, subscribe to updates, or contact us through our website;
- Enroll in the CE Instructor Program or another PSI service;
- Register as an instructor or as an attendee on a course roster;
- Communicate with us by phone, email, chat, or postal mail; or
- Apply to work with us as an employee, contractor, or independent representative.
This typically includes name, business or professional affiliation, email address, phone number, mailing address, state licensure information, payment information (processed by our payment processors, not stored by us), and any other information you choose to provide.
Information collected automatically
When you visit our websites, we may automatically collect:
- Device and browser information (browser type, operating system, screen size);
- Log information (IP address, access times, pages viewed, referring URLs);
- Cookie and similar technology data — see the “Cookies” section below.
Information from third parties
We may receive information from state certification boards, professional associations, and service providers who help us verify licensure, process payments, deliver certificates, or report course completion.
2. How we use information
We use the information we collect to:
- Deliver the Services, including course registration, certificate delivery, and state filing;
- Verify instructor and attendee eligibility with state boards;
- Process payments and manage your subscription;
- Communicate with you about your account, courses, invoices, and support requests;
- Send you information about our programs and services when you’ve given us permission or where allowed by law;
- Improve our Services, understand usage patterns, and troubleshoot problems;
- Comply with our legal obligations, including state CE reporting requirements; and
- Protect PSI, our clients, and our users from fraud, abuse, or security threats.
3. How we share information
We do not sell personal information. We share it only as described below:
- State certification boards and regulators. When required for CE reporting, instructor approval, audit, or licensure verification, we submit information to the appropriate board in the states where our clients teach.
- Service providers. We use vetted vendors to help us operate the Services — hosting, payment processing, email delivery, analytics, customer support, and professional services. These providers are contractually limited to using your information only on our behalf and consistent with this policy.
- Clients (instructors) and their attendees. If you register as an attendee for a course delivered by one of our clients, we share your attendance and completion information with that client and with the applicable state board.
- Legal obligations. We may disclose information if we believe in good faith that disclosure is required by law, subpoena, court order, or governmental request, or is necessary to protect rights, safety, or property.
- Business transfers. If PSI is involved in a merger, acquisition, financing, or sale of assets, personal information may be transferred as part of that transaction.
4. Data retention
We retain personal information for as long as needed to provide the Services, meet legal or regulatory requirements (including CE record-keeping and audit obligations, which often exceed five years and vary by state), resolve disputes, and enforce our agreements.
5. Your rights under U.S. state privacy laws
Depending on where you reside, you may have rights under state privacy laws such as the California Consumer Privacy Act (as amended by the CPRA), the Virginia Consumer Data Protection Act, the Colorado Privacy Act, the Connecticut Data Privacy Act, the Utah Consumer Privacy Act, and similar laws in other states. Where applicable, you may have the right to:
- Know what personal information we collect about you and how we use it;
- Access a copy of your personal information;
- Correct inaccurate personal information;
- Delete your personal information, subject to exceptions (for example, we cannot delete state-mandated CE completion records);
- Opt out of the “sale” or “sharing” of your personal information (we do not sell or share for cross-context behavioral advertising); and
- Not be discriminated against for exercising these rights.
To exercise these rights, email privacy@preferrededucation.com or call 888.455.7437. We will verify your identity before responding. You may designate an authorized agent to act on your behalf.
State-specific supplemental terms will appear here for jurisdictions with unique requirements. Contact us if you have questions about your specific state.
6. Cookies and tracking technologies
Our websites use cookies and similar technologies (like pixel tags and local storage) for functionality (keeping you signed in, remembering preferences), analytics (understanding how the site is used), and, where you’ve consented, marketing measurement. You can control cookies through your browser settings. Disabling cookies may limit some features of the Services.
7. Children’s privacy
The Services are directed to licensed professionals and adult learners. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, please contact us and we’ll take reasonable steps to delete it.
8. Security
We use administrative, technical, and physical safeguards designed to protect personal information from loss, misuse, and unauthorized access, disclosure, alteration, or destruction. No method of transmission or storage is 100% secure, so we can’t guarantee absolute security.
9. International users
Our Services are offered in the United States. If you access them from outside the U.S., you understand that your information will be processed in the U.S. and other jurisdictions where our service providers operate, which may have data protection laws that differ from those in your country.
10. Changes to this policy
We may update this policy from time to time. When we do, we’ll change the “last updated” date at the top and, if the changes are material, we’ll take reasonable steps to notify you. Please check back periodically.
